If you connect a Zoom account, QuotaPartner may access authorized Zoom account and meeting information as necessary to create, view, update, schedule, reschedule, and cancel meetings and to synchronize relevant meeting information with QuotaPartner scheduling and business workflows. Zoom data is accessed only with the user's authorization and is used to provide the requested integration functionality.

1. Introduction

OmniVentis Systems (“OmniVentis,” “QuotaPartner,” “we,” “us,” or “our”) develops and operates QuotaPartner, an AI-assisted business operating platform.

QuotaPartner helps authorized organizations and users manage customer relationships, communications, scheduling, workforce operations, documents, business workflows, meetings, integrations, analytics, and other business activities.

This Privacy Policy explains:

The information we collect;

How we use and protect it;

When information may be disclosed;

How connected services are handled;

How mobile messaging information is protected; and

The privacy choices available to users.

This Privacy Policy applies to OmniVentis Systems websites, the QuotaPartner platform, and related services that link to this policy.

2. Information We Collect

The information we collect depends on the services and features you use.

Account and Identity Information

We may collect:

Email address

Telephone number

Business name

Business address

Job title or role

Account identifiers

Authentication and security information

Organization and workspace membership

User preferences

Organization and Business Information

Authorized users may provide:

Revenue and operational information

Payment-card information may be processed directly by an authorized payment provider. OmniVentis Systems may not receive or store complete payment-card numbers.

3. How We Collect Information

From an organization that authorizes your QuotaPartner access;

Through your use of the platform;

From services you choose to connect;

Through communications with OmniVentis Systems;

From authorized service providers; or

As required to maintain security and comply with law.

4. How We Use Information

We may use information to:

Create and maintain accounts;

Operate the QuotaPartner platform;

Provide requested features and integrations;

Authenticate users and enforce permissions;

Maintain tenant and workspace isolation;

Process approved communications;

Manage appointments, schedules, meetings, and workflows;

Store and analyze authorized documents;

Generate reports and business insights;

Provide AI-assisted recommendations;

Provide customer support;

Process subscriptions and entitlements;

Detect fraud, abuse, and security threats;

Maintain audit and operational records;

Diagnose technical problems;

Improve platform performance and reliability;

Enforce agreements; and

Comply with applicable legal obligations.

5. Mobile Messaging and SMS Consent

When you provide your mobile telephone number and affirmatively opt in to receive text messages from QuotaPartner or OmniVentis Systems, we may use your number for the categories of messages disclosed at the point of consent.

Messages may include:

Appointment and scheduling notifications;

Account and operational alerts;

Service-request updates;

Customer-support communications; and

Other messages specifically requested or authorized by the recipient.

Message frequency varies. Message and data rates may apply. Reply STOP to cancel or HELP for assistance.

SMS consent is voluntary, is not a condition of purchasing goods or services, applies only to the disclosed QuotaPartner messaging program, and is not transferable.

Mobile Information Non-Sharing

We do not sell, rent, trade, or share mobile telephone numbers, SMS opt-in data, or text-messaging consent with third parties or affiliates for their marketing or promotional purposes.

All categories of information sharing described elsewhere in this Privacy Policy exclude text-messaging originator opt-in data and consent.

Text-messaging originator opt-in data and consent will not be shared with any third party, affiliate, lead generator, or unrelated organization for marketing or promotional purposes.

Mobile information may be disclosed to service providers and subcontractors acting on our behalf only when strictly necessary to operate, deliver, secure, and support the messaging program. Those providers may not use the information for their own marketing or promotional purposes.

6. Connected Services and Integrations

Users may choose to connect third-party services, including:

Google Workspace and Gmail

Microsoft 365

Zoom

Twilio

QuickBooks Online

Stripe

SignWell

Payroll, HR, workforce, and accounting providers

Other supported services

Connections are optional and require authorization from an eligible user.

We access connected-service information only as necessary to provide the features requested and authorized by the user or organization.

Third-party services remain governed by their own privacy policies and terms.

7. Google User Data

When a user connects a Google account, QuotaPartner may access authorized Google information only to provide user-requested functionality, such as:

Connecting an authorized mailbox;

Sending user-approved communications;

Synchronizing related messages and replies;

Associating communications with authorized business records;

Accessing authorized calendar information;

Creating or managing user-requested meetings and calendar events; and

Supporting related CRM and workflow functionality.

Google user data is not sold.

Google user data is not used for advertising.

Google user data is not used to create advertising profiles.

Google user data is not transferred to unrelated third parties.

Google user data is used only to provide or improve user-facing features that are prominent and authorized in the QuotaPartner interface.

QuotaPartner’s use and transfer of information received from Google APIs will comply with the Google API Services User Data Policy, including the Limited Use requirements.

Access may be revoked by disconnecting the Google integration within QuotaPartner or through the user’s Google Account permissions.

8. Microsoft User Data

When a user connects a Microsoft account, QuotaPartner may access authorized Microsoft 365 information only to provide requested functionality, such as:

Connecting an authorized mailbox;

Sending approved communications;

Synchronizing messages and replies;

Accessing authorized calendar information;

Creating or managing requested meetings; and

Supporting related CRM and workflow features.

Microsoft user data is not sold or used for advertising.

Access may be revoked by disconnecting the integration or through the user’s Microsoft account settings.

9. Zoom User Data

When a user connects a Zoom account, QuotaPartner may access authorized Zoom information as necessary to:

Identify the connected Zoom account;

Create meetings requested by the user;

View authorized meeting information;

Update, reschedule, or cancel meetings;

Synchronize meeting information with QuotaPartner scheduling workflows; and

Process authorized Zoom webhook events.

Zoom information is used only to provide requested integration functionality. It is not sold or used for advertising.

Users may revoke access by disconnecting Zoom within QuotaPartner or through their Zoom account settings.

10. Artificial Intelligence and Atlas

QuotaPartner includes AI-assisted functionality known as Atlas.

Atlas may process information supplied or authorized by users to:

Draft communications;

Analyze documents;

Generate summaries;

Identify potential workflow improvements;

Produce recommendations;

Assist with data organization;

Generate business insights; and

Perform other user-requested functions.

AI-generated output may be incomplete or inaccurate. Users remain responsible for reviewing output before relying on it or taking consequential action.

OmniVentis Systems does not use mobile messaging opt-in data or consent to train generalized AI models.

11. How We Disclose Information

We do not sell personal information.

We may disclose information:

To Service Providers

Information may be provided to hosting, communications, security, storage, analytics, support, payment, document-processing, or integration providers that help operate QuotaPartner.

Service providers may use information only to perform contracted services and must protect it appropriately.

At Your Direction

Information may be disclosed when an authorized user instructs QuotaPartner to send, synchronize, export, connect, or otherwise process information through a selected service.

Within an Authorized Organization

Information may be available to authorized members of the same organization or workspace according to configured roles and permissions.

For Legal and Safety Reasons

Information may be disclosed when reasonably necessary to:

Comply with applicable law or lawful process;

Protect users or the public;

Investigate fraud or abuse;

Enforce agreements; or

Protect the rights, security, and integrity of OmniVentis Systems or QuotaPartner.

Business Transfers

If OmniVentis Systems is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to applicable law and appropriate confidentiality protections.

Mobile telephone numbers and SMS consent remain subject to the restrictions stated in Section 5 and will not be transferred for third-party marketing or promotional purposes.

12. Data Security

We use administrative, technical, and organizational safeguards designed to protect information, including, where appropriate:

Encryption in transit;

Encryption at rest;

Access controls;

Authentication protections;

Role-based permissions;

Tenant isolation;

Audit logging;

Malware scanning;

Secure cloud infrastructure;

Backup and recovery controls;

Monitoring and incident response procedures; and

Vendor and provider security controls.

No security system can guarantee absolute protection.

13. Data Retention

We retain information only as long as reasonably necessary to:

Provide requested services;

Maintain business and audit records;

Meet contractual obligations;

Resolve disputes;

Enforce agreements;

Protect security and integrity; and

Comply with applicable law.

Retention periods vary depending on the type of information, the enabled service, organizational instructions, and legal requirements.

When information is no longer required, we may delete, anonymize, or securely dispose of it.

14. User and Organization Responsibilities

Organizations using QuotaPartner are responsible for:

Providing appropriate notices to their personnel and customers;

Collecting legally required consent;

Configuring roles and permissions;

Using connected services lawfully;

Ensuring submitted information is accurate; and

Complying with applicable employment, communications, privacy, and recordkeeping laws.

OmniVentis Systems and each customer organization may have separate privacy responsibilities depending on the context.

15. Your Choices and Rights

Depending on your location and applicable law, you may have the right to:

Request access to personal information;

Request correction of inaccurate information;

Request deletion of certain information;

Request a copy of certain information;

Object to or restrict certain processing;

Withdraw consent where processing is based on consent; and

Appeal certain privacy-request decisions.

Some requests may be limited by legal, security, contractual, audit, or record-retention requirements.

We may verify your identity before processing a request.

16. California Privacy Information

California residents may have rights under applicable California privacy laws, including rights to request access, correction, or deletion of certain personal information.

OmniVentis Systems does not sell personal information.

OmniVentis Systems does not share personal information for cross-context behavioral advertising.

We do not discriminate against individuals for exercising applicable privacy rights.

Authorized agents may submit requests where permitted by law and subject to identity and authorization verification.

17. Cookies and Similar Technologies

Our websites and platform may use cookies and similar technologies to:

Maintain authenticated sessions;

Protect accounts and prevent fraud;

Remember preferences;

Measure performance;

Diagnose errors;

Understand feature usage; and

Improve services.

Users may manage cookies through browser settings and any available website privacy controls. Disabling necessary cookies may prevent certain features from functioning.

18. Children’s Privacy

QuotaPartner is intended for business use and is not directed to children under 13.

We do not knowingly collect personal information directly from children under 13. If we learn that such information was collected without appropriate authorization, we will take reasonable steps to delete it.

19. International Data Processing

Information may be processed in the United States and other countries where OmniVentis Systems or its service providers operate.

Data-protection laws may differ between countries. Where required, we use appropriate protections for international transfers.

20. Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes in law, technology, connected services, or business practices.

Updates will be posted on this page with a revised effective date. Material changes may also be communicated through the platform or another appropriate channel.
